ALL-CON's Vendor, Exhibitor, and Artist Move-In Guide


Thank you very much for choosing to support our convention and the community we serve.

For event set-up: Please check-in at the Lincoln Ballroom BEFORE approaching the loading dock area to pick up your move-in packet and any last-minute instructions. Once you arrive at the dock, please plan to empty and remove your vehicle promptly.

Set-up for vendors is Wednesday from 7pm until midnight. Wednesday night the Lincoln Ballroom will be locked down at midnight. That way we can all get some sleep. You may want to load-in on Wednesday night and unpack on Thursday while others attempt to load-in in the morning. This will reduce congestion in the loading dock on Thursday morning.

Set-up for the vendor room and exhibitor hallway is on Thursday is from 8am until 3pm.

You will receive a packet at check-in that includes a map and waivers. If your space is inside the Vendor Room there will also be lunch ordering forms. The configuration of vendors and exhibitors in the room may have changed since you reserved your space. When you arrive at the site to check in, you will be given a room layout. The vendor room layout and exhibitor table locations will be labeled with the space identification number and name. Some of the ballroom doors will be labeled 'Not For Use'. For security reasons, please do not use these doors (even if it's a shortcut). All traffic is directed to specific doors during the convention for flow.

The badges are under the name of the individual who paid for the booth and photo ID will be required. Please DO NOT use the hotel bell carts, nor any dollies or hand trucks staged on or near the dock.

Thursday vendors will be allowed into the ballroom at 8am and the doors will open to the public at 3pm. Thursday night the Vendor Room closes at 7pm. Please plan to be out by 7:30 so we can lock up for the night. Exhibitors are welcome to check in after arriving at 8am on Thursday. Your check-in packet will be available later if you are not able to arrive at the convention on Thursday morning.

Friday vendors will be allowed into the ballroom at 9am and the doors will open to the public at 11am. Friday night the Vendor Room closes at 7pm. Please plan to be out by 7:30 so we can lock up for the night.

Saturday vendors will be allowed into the ballroom at 9am and the doors will open to the public at 11am. Saturday night the Vendors Room closes at 7pm. Please plan to be out by 7:30 so we can lock up for the night.

Sunday vendors will be allowed into the ballroom at 9am and the doors will open to the public at 11am. Sunday afternoon the Vendors Room closes at 4pm. Please tear down and plan to be moved out by 6pm.

In the vendor room, every booth and table comes with at least one table and 2 chairs. The table is covered but not skirted. If hotel linen isn't your thing, you're welcome to re-cover your table(s). Also, you paid for an 8'x8' or an 8'x16' space; not just a table. If you would like an extra table, or to remove your table in favor of your own displays, you are welcome to as long as you do not set up outside of your allotted space on the floor. The booths are not butted up against each other. There may be more than 8'x8' around you, please do not creep into this area. We added extra space for the good neighbor policy. Please respect your own space and that of others. Nobody should be 'touching' one another other than back-to-back.

Every exhibitor table comes with 2 chairs. The table is covered and skirted. The table is to remain 30 inches from the wall and displays may not extend into the aisles. Please keep in mind that the exhibit hall is not a secured area, so we ask that you remove all of your items of value and store them before leaving each night.

Please keep in mind, there is no alcoholic beverages allowed in hallways or convention space. Please limit these to your hotel room, restaurant or bar area.
